What the rental management software does

The full guide for every country: Rental management software.

Rental management made for how Kenyans pay rent

Most tenants in Kenya pay rent by M-Pesa, often a few days late or in two parts, and move in with a deposit plus the first month. Afritelligence records exactly that: enter what the tenant paid at move-in, say whether it includes the deposit, and it works out how many months are covered and when rent is next due.

Part payments clear the oldest rent first, the balance stays on the tenant's account, and the arrears list shows who owes what across all your units in Nairobi, Mombasa, Nakuru, Kisumu, Eldoret or Thika.

What is rental management software?

Rental management software is the system landlords and letting agents use to manage units and tenants: who lives where, what they pay, when rent is due, what has been paid and who is behind. It replaces the rent book, the spreadsheet and the reminders sent by hand.

Afritelligence is rental management software for landlords and agents in Kenya. Rent is raised for every tenant each month, payments clear the oldest charge first, and money paid in advance covers the next months — with the next due date shown on every receipt, in Kenyan Shilling (KES).

Who uses a rental management system?

Individual landlords with a few units, agents managing property for several owners, and BnB hosts in Nairobi, Mombasa, Kisumu, Nakuru, Eldoret and Thika use a rental management system to stop chasing rent from memory.

  • ✓Landlords with apartments, houses, rooms, shops or offices
  • ✓Letting agents managing units for several landlords
  • ✓Property managers and caretakers reporting to owners
  • ✓BnB and short-stay hosts letting by the night

Rental management software features

These are the parts of Afritelligence landlords and agents use.

  • ✓Properties and units: vacant, occupied or booked at a glance
  • ✓Tenants: unit, rent, deposit, due day, documents and full payment history
  • ✓Move-in payments: say whether the amount includes the deposit; the months of rent it covers are worked out
  • ✓Next due date on every receipt, counting rent paid in advance
  • ✓Arrears sorted by how late, with late penalties after the grace days you set
  • ✓Fixed monthly bills such as service charge, water and garbage
  • ✓BnB and short stays by the night, with check-in, check-out and deposits
  • ✓SMS reminders before and after rent is due, and one expenses page by property

How rent collection works

When you let a unit, the rent and deposit come from the unit. You enter what the tenant paid and whether it includes the deposit, and the system works out how many months that covers and when rent is next due. From then on, rent is raised every month.

When a tenant pays by M-Pesa, Airtel Money, Card, bank or cash, the payment is recorded with its reference, a receipt is issued straight away, and the next due date moves forward by however many months the payment covers.

What rental management software replaces

The rent book, the spreadsheet that only one person understands, and the evenings spent working out who has paid. A rental management system keeps the schedule for you, so arrears, advance payments and deposits are always right.

How to choose a rental management system

Before you choose rental management software, check that it can:

  • ✓Raise rent every month automatically
  • ✓Handle deposits separately from rent
  • ✓Count advance payments and show the next due date
  • ✓Show arrears and apply late penalties
  • ✓Send tenants reminders
  • ✓Record M-Pesa, Airtel Money, Card, bank and cash in Kenyan Shilling (KES)
