What the car dealer software does

The full guide for every country: Car dealer software.

Software for Kenyan car yards

A car in a Kenyan yard has usually come through Mombasa: bought in Japan, shipped, cleared, transported, repaired and detailed before it is sold. Afritelligence adds every one of those costs to the car, so you see its real landed cost and the true profit when it sells.

Sell for cash or on installments with a deposit, take a trade-in off the price, and record every M-Pesa or bank payment against the buyer's plan. Tick installments and mark them paid, give receipts with the balance, and print the buyer's statement any time.

  • ✓Landed cost: purchase, shipping, clearing, repairs, detailing
  • ✓Cash or installment sales with a payment plan
  • ✓Trade-ins taken off the price
  • ✓Receipts, balances and buyer statements
  • ✓Salespeople's commission, earned as buyers pay
  • ✓Car hire by day, week or month

What is car dealer software?

Car dealer software is the system a car yard uses to manage its stock and its sales: every vehicle with its details, photos and costs, the price it was sold for, how the buyer is paying, and the profit on each car. For dealers who also hire out cars, it covers the bookings, deposits and returns too.

Afritelligence is car dealer software for car yards and dealerships in Kenya. It tracks each vehicle from purchase to sale — purchase price, shipping, clearing, transport, repairs and other costs add up to the landed cost — so every sale shows its real profit, in Kenyan Shilling (KES).

Who uses a car dealer system?

Used car yards, import dealers, dealerships with salespeople on commission, and car hire companies in Nairobi, Mombasa, Kisumu, Nakuru, Eldoret and Thika use a car dealer system to replace the spreadsheet and the receipt book.

  • ✓Used car yards and import dealers
  • ✓Dealerships with salespeople on commission
  • ✓Car hire and rental companies
  • ✓Dealers who sell on installments and take trade-ins

Car dealer software features

These are the parts of Afritelligence a car dealer uses.

  • ✓Vehicle stock: registration, chassis / VIN, mileage, engine, gearbox, colour and photos
  • ✓Landed cost: purchase price plus shipping, clearing, repairs, detailing and other costs
  • ✓Full payment or installments: choose at the sale; installments clear oldest first until paid off
  • ✓Discounts on full payment, recorded with the sale
  • ✓Trade-ins: the buyer's old car comes off the price and goes into your stock
  • ✓Salespeople's commission and payouts
  • ✓Car hire: day, week and month rates, deposits, handover and return with mileage and fuel
  • ✓Maintenance, insurance and inspection reminders for your fleet

How a sale works

Pick the car and the buyer, then choose how they're paying. For a full payment you enter the price and any discount and record the payment by M-Pesa, Airtel Money, Card, bank or cash — the sale is complete and the receipt is ready. For installments you set the deposit and the number of months; a payment schedule is created and every payment clears the oldest installment first.

Either way, the profit on the car is calculated from its landed cost, and the salesperson's commission is worked out from the sale.

What car dealer software replaces

A spreadsheet of stock that's always out of date, a receipt book for installments and a calculator for profit. With a car dealer system the stock, the costs, the payments and the profit are the same record, so you know what each car really made.

How to choose car dealer software

When comparing car dealer systems, check that it can:

  • ✓Track the full landed cost of each vehicle, not just the purchase price
  • ✓Sell in full or on installments and keep a payment schedule
  • ✓Take trade-ins against the price
  • ✓Work out salespeople's commission
  • ✓Handle car hire if you rent cars out
  • ✓Record M-Pesa, Airtel Money, Card, bank and cash in Kenyan Shilling (KES)
