A shop that sells fifty items a day can be run from memory. A shop that sells five hundred cannot. Once you have a busy till, a stockroom, regular customers taking goods on credit and distributors to pay, you need a retail management system Kenya shop owners can trust: one place where every sale, delivery and shilling is recorded.
This guide explains what such a system should do, in plain words, for a duka in Kisumu, a mini-mart in Nakuru or a small supermarket in Nairobi.
What a retail management system actually is
It is the software that joins the till, the stock and the money. Each sale takes items off the shelf in the records, each delivery puts them back, and the profit at the end of the day comes from what the goods really cost you. People also call it a retail POS system, shop management software or a duka management system. The names differ, the job is the same.
Afritelligence is built this way. See the retail industry page for the full picture, or the point of sale features.
A fast till that takes M-Pesa
Queues cost sales. A good mini-mart or supermarket POS lets the cashier scan a barcode with any USB or Bluetooth scanner, or search by name when an item has no barcode. The customer can pay part M-Pesa and part cash on the same sale, and the system works out the change. You can hold a sale while a customer fetches something, serve the next person, then come back. Receipts print on an 80 mm thermal printer or go to the customer on WhatsApp, with your tax ID (KRA PIN) on them.
Retail inventory management that adds up
Stock management software is only useful if the number on screen matches the shelf. Here every sale, delivery, return and write-off is a recorded movement, so when a number is wrong you can see who changed it and when. At stock take you count the shelf, type the numbers, and only the differences are recorded. Set a reorder level per product and the dashboard shows what is running low and which supplier you last bought it from. You can load your whole price list from a CSV file instead of typing items one by one.
Wholesale and retail prices
Many shops sell to both walk-in customers and small traders. Each item can carry a retail and a wholesale price, and one tap switches a sale to wholesale so every line re-prices. That makes it a practical wholesale and retail management system for a shop serving both. Managers can approve discounts; cashiers cannot change prices.
Credit, suppliers and retail sales tracking
Customers who buy on credit are a risk and an opportunity. Give each regular a credit limit; the till refuses a sale that would go over it. Every customer has a running statement and you can send their balance on WhatsApp. On the other side, deliveries are received against the supplier's invoice, so you always know what you owe each distributor.
For retail sales tracking, the dashboard shows today's sales and gross profit, and reports show profit by day, product and cashier. Cashiers open a shift with a float and close with a cash count, so a shortage shows up the same day, not at month end. See inventory for more.
Choosing a system: questions to ask
- Does it take M-Pesa and cash on the same sale?
- Does it work on the phone or computer you already own?
- Does stock update on every sale and delivery?
- Can you see profit, not just sales?
- Can you add a second branch later?
Afritelligence runs in the browser, so there is nothing to install. It is a monthly subscription per branch; see the prices.
