A hardware shop is one of the hardest to run on paper. Thousands of items, cement by the bag, nails by the kilo, wire and pipes by the metre, paint in tins, fundis taking goods on credit and suppliers waiting for payment. A hardware management system Kenya shop owners can rely on keeps all of this in one place, on a phone or the shop computer.
This guide covers what to look for, whether you run a small hardware in Eldoret or a building materials store in Mombasa.
What a hardware management system does
It joins your till, your stock and your credit book. As hardware POS, it sells fast and takes M-Pesa and cash. As hardware inventory management, it knows what is in the store and what it cost you. As hardware billing, it prints a clear receipt with your tax ID. See the hardware industry page for the details.
Sell by the bag, kilo or metre
A building materials shop does not sell everything by the piece. You can switch on selling in fractions for items like nails, wire and pipes, and sell 2.5 kg or 1.2 m at the till. Items can be counted in pieces, kg, metres, litres, bags, boxes or rolls. This is what makes a construction materials POS different from an ordinary supermarket till. The same applies to a timber yard selling by length, a paint shop selling by the tin or litre, or plumbing supplies sold by the metre and by the piece.
Retail and wholesale prices
Contractors expect a better price than a walk-in customer. Each item can have a retail and a wholesale price, and one tap switches the whole sale to wholesale so every line re-prices. Managers can change a price or give a discount; cashiers cannot.
Credit for fundis and contractors
Credit is normal in hardware. The danger is losing track. Give each fundi or contractor a credit limit; the till blocks a sale that would go over it. Each customer has a statement showing credit sales and repayments, and you can send the balance on WhatsApp. Record repayments by M-Pesa, bank, cheque or cash. See customer credit.
Loading thousands of items
You do not need to type your whole shop. Download the CSV template, fill it from your price list in Excel and upload it, with opening stock. Re-uploading updates prices without creating duplicates.
Stock control and suppliers
Every sale, delivery, return and write-off is recorded in a stock movement ledger, so you can see why a number changed. Stock takes record only the differences, which shows what went missing. Deliveries are received against the supplier's invoice, your buying price updates, and you see what you owe each supplier. Insights and the reorder list show what to buy before you run out. For hardware sales management you also get profit by day, product and cashier. See point of sale and inventory.
Is it worth it?
Losses in hardware are often small and constant: a bag not recorded, a price changed at the till, a credit never collected. Recording everything closes these gaps. Afritelligence is a monthly subscription per branch with no hardware to buy; see the prices.
A day in a hardware shop with the system
Picture a Saturday morning. A fundi arrives for ten bags of cement, a roll of wire and a tin of paint. The cashier searches the items, switches the sale to wholesale because he is a regular, and puts the balance on his account within his credit limit. The stock of cement drops by ten bags the moment the sale is saved. In the afternoon a lorry delivers steel bars; the storekeeper receives them against the supplier's invoice and the buying price updates. In the evening the cashier counts the drawer, closes the shift and the owner sees whether it is short or over. Nothing needs to be copied from one book to another, and the owner can check all of it from home on a phone.
That is the real gain: fewer arguments, fewer surprises at month end and faster decisions. You also see slow movers, stock sitting on the shelf that did not sell in the period, which helps when deciding what to stop buying. See reports for the full list.
