An agrovet sells to farmers who buy in seasons and often pay after harvest. The shelves hold chemicals and veterinary drugs that expire, and feeds and fertiliser that are sold loose by the kilo. Paper books struggle with all of this. An agrovet management system Kenya shop owners can use records every batch, every kilo and every farmer's balance.
Here is what to expect from one, for an agrovet in Nakuru, Eldoret or a small market town.
What an agrovet management system does
It joins the till, the stock and the credit book, with the extras an agrovet needs: batches and expiry dates, and selling by weight. People call it agrovet POS, farm inputs software or agrovet inventory software. The agrovet industry page shows exactly what is included.
Expiry tracking for chemicals and vet drugs
Expired agrochemicals and veterinary drugs are a loss and a risk. In Afritelligence each delivery records its batch and expiry date, and each batch keeps its own count. Sales take the earliest-expiring batch first, and stock in an expired batch cannot be sold. An expiry report shows what expires in 30, 60, 90 or 180 days, with its value, so you can discount or return it in time. This is agrochemical inventory that actually protects you. See batches and expiry.
Selling feeds, fertiliser and seed by weight
A fertilizer shop POS must handle the farmer who wants 3.5 kg of seed or "KES 500 of dairy meal". Sell loose products by the kg, or type the amount the farmer wants to spend and the till works out the weight. This suits animal feeds software needs as well, where bags are opened and sold in parts.
Farmers on credit
Many farmers buy inputs now and pay at harvest or after the milk cheque. Give each farmer or group a credit limit and a statement, and record each repayment by M-Pesa, bank or cash. You can send a balance on WhatsApp. Your records then show who owes what and for how long. See customer credit.
Suppliers and reordering
Record each delivery against the distributor's invoice, so stock goes up and you see what you owe each supplier. Set reorder levels and the reorder list shows what is low and who you last bought it from. Sales reports and Insights show which products move in each season, so you stock for planting time and not just guess.
A veterinary shop at the same till
If you also sell vet drugs, they sit in the same system: batches, expiry, prescription-only flags where you use them, and generic names for search. Everything sells at one till with M-Pesa, cash or credit, and receipts carry your tax ID. See point of sale.
Getting started
Load your price list from a CSV, enter opening stock with batches, and sell. It works in the browser on any phone, tablet or computer. It is a monthly subscription per branch; see the prices.
Planning around the seasons
Agrovet sales swing with the rains. Before planting, fertiliser, seed and herbicides fly out; in the dry months, vet drugs and feeds carry the shop. Because every sale is recorded, last season's numbers show what to stock and when. Compare a month with the same month last year, see which products sold out and which expired on the shelf, and order accordingly.
Credit follows the seasons too. A farmer group may take inputs in March and pay after the harvest. With limits and statements per farmer you can say yes to good customers without losing track, and you can see at a glance who has not paid since last season. Combined with expiry reports, this protects your cash: you do not buy more than you can sell before the date, and you do not lend more than a customer can repay. See reports and purchases and suppliers.
Tips for a smooth start
Start small. Add your best-selling items or main services first and sell for a week before loading everything. Ask each staff member to use their own login so records show who did what. Check the dashboard every evening for a few minutes: sales, cash and anything that looks odd. Keep your records honest from day one and the reports become more useful every month. If you get stuck, support is available on WhatsApp. You can see the prices and sign up free to try it with your own business before you commit.
