Running a restaurant in Nairobi, Mombasa or Kisumu means three jobs at once: taking orders, cooking on time and counting the money at the end of the night. A restaurant management system puts those three jobs on one screen instead of an order book, shouting across the pass and a calculator.
This guide explains what restaurant software in Kenya should do, how it fits a real shift, and what to check before you choose. Afritelligence is a restaurant management system in Kenya built around exactly this flow.
What a restaurant management system does
It follows an order from the table to the till:
- A waiter opens a table or a tab and taps the items the guest wants, with a note such as "no onions".
- The order is sent. Food goes to the kitchen screen and drinks to the bar screen.
- The kitchen marks it preparing, then ready, and the waiter who sent it is told.
- The waiter serves it and prints the bill with its own number.
- The cashier confirms the payment (M-Pesa, cash, card or a split) and the guest gets a receipt.
- Stock and sales update by themselves, so the owner sees the day's takings and profit.
Restaurant POS and restaurant billing software
The till is the heart of it. A good restaurant POS takes M-Pesa and cash on the same bill, splits a bill between guests and records the M-Pesa code so the same code cannot be used twice. Every bill has a number, so the cashier can find it by table, waiter, name or amount. That is what turns a pile of paper bills into proper restaurant billing software.
Restaurant order management
Order mistakes cost money: a dish sent twice, a drink forgotten, a table waiting 40 minutes. With screens in the kitchen and at the bar, every order shows its table, its items and its notes, and orders that wait too long are flagged late. Waiters stop walking back and forth to ask "is it ready?"
Restaurant inventory and stock management
Sell each dish and drink as an item with its own stock. Stock goes down when it sells, low stock is flagged, and a stock take at closing shows what is missing. Record what you buy from suppliers and what you owe them. Afritelligence does not work out recipes from ingredients, so track the main items you want to watch.
Staff: cashier, waiter, kitchen and bar
Give each person a login for their job. Waiters open tabs and send orders but never take payment. The kitchen and bar see orders without prices. The cashier takes the money. The owner sees everything, including each cashier's takings by shift.
Sales, expenses and profit
Daily sales, best sellers, what each cashier took, expenses and profit are on one report. Afritelligence is not full accounting software, but it records your sales, purchases and expenses so your accountant has clean numbers.
What it does not do yet
Be honest with yourself when you compare systems. Afritelligence does not yet do QR code menus, online ordering, delivery management or table reservations. If you need those, you will need another tool alongside it.
Questions
Which package do I need? A small fast food shop can use the Starter package, which is a plain till. Tables, tabs and the kitchen and bar screens come with the Business package and above, and hotel rooms with the Pro package. See the prices.
Do I need special hardware? No. It runs in a browser on a phone, tablet or computer.
