A good night in a lounge, club or shisha spot is also the hardest night to control. Many guests order at once, waiters are on the move, bills run for hours and the cashier is under pressure. A lounge management system keeps the chaos recorded.
A tab for every table
Open a tab for each table or VIP section and name it so the waiters know it: "VIP 2", "Birthday group" or a guest's name. Waiters add rounds from their phones, and the whole team sees the same tab.
Bar and kitchen screens
Drinks, shisha and bites go to the right screen. Each order shows its table, items and notes, and slow orders are flagged late. The waiter who sent an order is told when it is ready.
Bills and the cashier
When a group asks to pay, the waiter prints the bill with its number. It shows for the cashier, who confirms payment with M-Pesa, cash or card and issues the receipt. Waiters never touch the money.
Stock for drinks and bottles
Sell each bottle and drink as an item with stock. After a busy night, the stock take shows what was sold and what is left, so a missing bottle is noticed.
Staff roles
Cashier, waiter, kitchen and bar logins keep each person to their job. The owner sees each cashier's takings by shift.
What it does not do
Afritelligence does not take table reservations or VIP bookings in advance. It manages the tables and tabs once guests are seated.
Why a lounge loses money on a good night
The busiest nights hide the most losses. A round added to the wrong tab, a bill that is never printed, a bottle opened and not recorded: each is small, but together they add up by Sunday. Recording each round at the time it is ordered, on one shared tab, removes most of these gaps.
An example: a Saturday night in Nairobi
A lounge in Nairobi has eight tables and two VIP sections. By 10 pm the manager has named tabs open: "VIP 1", "VIP 2", "Birthday group" and several tables. Three waiters take rounds from their phones, so one waiter can add a round to a tab another started. Drinks and shisha go to the bar screen and bites to the kitchen screen, and a waiter is told when the order they sent is ready.
At 1 am VIP 2 asks to pay a bill of KES 18,500 as an example. The waiter prints it with its number and the cashier confirms it with part M-Pesa and part card. The cashier closes the till shift in the morning, and the manager reads each cashier's takings and compares the stock take of the bottles.
Checklist for a busy night
- Name every tab so any waiter knows it.
- Keep drinks on the bar screen and food on the kitchen screen.
- Print bills with numbers and let only the cashier take payment.
- Open the till with a float and close it with cash counted.
- Run a stock take of bottles after the night.
Common mistakes to avoid
- Unnamed tabs. Two "Table 4" tabs are an argument waiting to happen.
- Waiters collecting cash. Money moves through one person, the cashier.
- Waiting for month-end to count bottles. Count after a busy weekend.
- Forgetting to close the shift. The next day's cash-up then mixes two nights.
