Cafe management system in Kenya for coffee shops, juice bars and bakeries

Cafés, coffee shops, juice bars and bakeries sell many small items fast. The money is in the volume, so the system has to be quick and the stock has to be right. A cafe management system gives you both.

A quick till at the counter

Every coffee, juice, cake and snack is an item with a price. Tap it, take M-Pesa, cash or card, and give the receipt on paper or on WhatsApp. Change a price once and it changes everywhere.

Stock for beans, milk and pastries

Track what runs out: milk, beans, pastries, bottled drinks and packaging. Record deliveries, count at closing and see low stock before it hurts.

Regular customers

Save your regulars with their phone numbers. Put a trusted customer's bill on account if you choose, and on the Business package run loyalty rewards.

Bakery and dessert shops

A bakery or dessert shop sells loaves, cakes, pastries and ice cream the same way: each one an item with a price and a count. The till and the reports work the same.

Reports

Best sellers, sales by day and profit per item show what to bake or brew more of, and what to stop making.

Why small items need careful counting

A coffee shop earns KES 150 or KES 400 at a time, so a few uncounted pastries or an unrecorded bag of beans quietly eat the profit. Because each item has its own price and, if you choose, its own stock, the system does the counting while you serve. A bakery or dessert shop that bakes in batches can also see which products sell out early and which are left at closing, and adjust the next day's batch to match.

Opening and closing routine

Open the day by checking the stock of milk, beans, pastries and bottled drinks. During the day, serve from the counter and let each sale reduce the count. At closing, count the till, count the items that matter most, and note what was left over. This takes ten minutes and shows you the real picture of the day.

An example: a coffee shop and bakery in Nairobi

A small coffee shop and bakery in Nairobi sells coffee, juice, croissants and cakes. Each item is set up with a price, and the pastries and bottled drinks have stock. A customer pays KES 450 by M-Pesa for a coffee and a croissant, and the receipt goes to their phone. A regular who comes every morning is saved with their phone number, so the owner knows who they are.

On Monday the owner checks the reports. The cheese croissant sells out by 10 am while the plain scones are left over, so Tuesday's baking changes. Milk and beans show low stock before the weekend.

Checklist for a cafe counter

  • Every item set up with a price, and stock for pastries and bottled drinks.
  • M-Pesa, cash and card taken at the counter.
  • Regular customers saved with their phone numbers.
  • Deliveries recorded the day they arrive.
  • Best sellers reviewed weekly.

Common mistakes to avoid

  • Counting only the till. Without stock, you do not see waste and leftovers.
  • Forgetting regular customers. A saved name and number is the start of loyalty.
  • Never changing the menu. Reports show what to drop.
  • Mixing personal and shop purchases. Record every purchase against the supplier.

Questions

Can a bakery use it? Yes. Each loaf, cake and pastry is an item with a price and a count.

Can I give regular customers rewards? Loyalty comes with the Business package and above.

Does it work for a juice bar? Yes, the same quick till and stock apply.

Can I send receipts on WhatsApp? You can give the receipt on paper or on WhatsApp.

When you grow

Start with the Starter package, a plain till for one counter. When you add tables and a kitchen, the Business package adds tabs, waiter orders and kitchen screens.
