Once the orders and bills are under control, the next question is: who are my regulars, and what is actually selling? Here is how restaurant customer management, loyalty and sales reporting work in Afritelligence.
Customer records
Save a guest's name and phone number when they book a room, sit at a table you want to remember or buy on account. Customers appear in one list, with their history. Leads you have been following become customers when they buy.
Loyalty
On the Business package and above, run a loyalty programme so regulars earn rewards. The till shows the member's points and the rewards they can use.
Reminders by SMS
Send transactional messages such as payment and booking confirmations by SMS once it is set up.
Daily sales reports
- Sales by day, with how guests paid.
- Best sellers and profit per item.
- Each cashier's takings by shift.
- Waiters' paid tabs for the day, so every waiter can see their own sales.
- What is owed to you and what you owe suppliers.
Why regulars matter
In most restaurants a small group of regulars brings a large share of the lunch trade, but the owner often cannot say who they are. A saved name and phone number is a simple start. When the same person comes back, you can see their history, and on the Business package and above you can reward them so they have a reason to choose you again.
Reading reports without a spreadsheet
You do not need to build tables by hand. Open the sales report and pick a day to see how much was sold and how guests paid. Open best sellers to see which dishes lead. Open profit per item to see which ones earn, not only which ones sell. Open expenses to see what went out, and the list of what is owed to you, so nothing is forgotten.
Using reports to decide
A report is only useful if it changes something. If a dish earns little, change its price or its portion. If a cashier's takings do not match the cash counted, ask about it the same day. If a weekday is always slow, try a lunch offer on that day and compare the next week with this one. Small decisions like these, made every week, are what turn records into profit.
An example: a restaurant in Thika
A restaurant in Thika has regulars who eat lunch there most weekdays. The owner saves their names and phone numbers, and on the Business package turns on loyalty so the regulars earn rewards. On Monday morning the owner opens the reports: sales for each day of last week, how guests paid, the best sellers and profit per item. The pilau sells well, while a side dish sells rarely and earns little, so it comes off the menu.
Each cashier's takings by shift are checked against the cash counted, and each waiter looks at their own paid tabs on My sales.
Checklist for the Monday review
- Look at sales by day and how guests paid.
- Check best sellers and profit per item.
- Compare each cashier's takings by shift.
- Look at expenses and who owes you.
- Note which regulars to thank.
Common mistakes to avoid
- Collecting numbers and never reading them. Pick one review time each week.
- Not saving customer phone numbers. Without them there is no loyalty to run.
- Judging a dish by sales alone. A dish that sells a lot but earns little is a problem.
- Ignoring what is owed to you. Unpaid accounts add up quickly.
