Property management software in Kenya: rent, tenants, plots and installments in one place

Every landlord knows the first of the month: some tenants pay by M-Pesa, some pay late, some pay half, and by the tenth you are scrolling through messages to work out who owes what. Property management software Kenya landlords and agents can use replaces that scrolling with one clear record of every unit, tenant and payment.

This article explains what it should do for a landlord with a few units in Kisumu or an agent managing blocks across Nairobi.

What property management software does

It joins your properties, tenants and money. Afritelligence covers both sides of the business: letting and selling. For letting, see the rental management software page; for developers and agents, the real estate industry page.

Properties, units and plots

Add a project, such as an apartment block with units 1A, 1B and so on, or a piece of land with Plot A and Plot B. You see at a glance what is available, reserved, sold or let, with prices, sizes and title or plot numbers. This works as apartment management for blocks and as a real estate management system for developers.

Rent collection software

A rental management system should not make you chase numbers. Each tenancy raises its rent automatically every month. Record M-Pesa, bank or cash payments with the reference and give a receipt straight away. Payments clear the oldest rent first, and money paid ahead covers the next months. The receipt shows the next due date. This is rent collection software and rental payment tracking in one.

Tenant management and arrears

Each tenant has a page with their unit, rent, deposit, due day and full payment history. An arrears list sorts who owes what by how late it is. You can set late penalties, as a fixed amount or a percentage, applied after the grace days you choose, and send SMS reminders before and after the due date once SMS is set up. This is the heart of a tenant management system and useful landlord software. End a tenancy and the unit is free to let again.

Selling on installments

If you sell plots or houses, set the price, deposit, number of months and due day. A payment schedule is created for every buyer, receipts and statements are produced, and each payment clears the oldest amount first. Agents' commission is tracked as buyers pay, which is useful for property agency software.

Real estate CRM

On the POS plus CRM plan, you also get leads, a sales pipeline, site visits with GPS and follow-up reminders. See CRM and the prices. Short-stay and BnB units can be booked by the night, with deposits and balances.

What it is not

It is not a full accounting package, and it does not manage building maintenance requests. It handles letting, selling, money and reminders.

A typical month for a landlord

On the first, rent is raised for every tenancy automatically. Tenants pay through M-Pesa; you enter each payment with its reference and the tenant receives a receipt showing the next due date. By the seventh the arrears list shows who has not paid and how late they are, so you send SMS reminders, or call only those who need it. If a tenant pays two months at once, the system covers both months instead of leaving you to work it out.

For an agent with several landlords, the same record shows each unit and each payment, which makes statements to owners simpler. For a developer selling plots, the schedule per buyer shows what is due this month across the whole project. Each of these saves hours of scrolling through phone messages and bank statements, and gives you evidence when a tenant or buyer disputes a figure. Keep your lease agreements and legal documents as usual; the system records the money and reminders. See payments for how mobile money is reconciled.

Tips for a smooth start

Start small. Add your best-selling items or main services first and sell for a week before loading everything. Ask each staff member to use their own login so records show who did what. Check the dashboard every evening for a few minutes: sales, cash and anything that looks odd. Keep your records honest from day one and the reports become more useful every month. If you get stuck, support is available on WhatsApp. You can see the prices and sign up free to try it with your own business before you commit.
